Example Planning Calendar

Master Travel Plan Items to accomplish Months in advance

  1. Book flight, record flight number, seat assignment, confirmation number, departure time, arrival time, layover times here. Add know traveler number if you are Global Entry or TSA PreCheck to reservation Add Passport Info and Emergency contact information to reservation

  2. Book hotel, record booking confirmation number, hotel confirmation number here Keep a copy of what you booked, such as free wi fi, free breakfast, etc. to show clerk, if needed

  3. Arrange airport transfer, record info here

  4. Perhaps arrange city transit, and order in advance if possible

  5. Build attraction list Using TripAdvisor or Google, look up the top sites to see Using TripAdvisor, or Viator, or City Discovery, look up day trips available where you are going Look at maps determine what is close by, via bus or train if no tours are available.

Use Google to look up info on all the sites for all the cities you are interested in seeing, and record: Attraction Name, web site, days open, open time, close time, admission cost… note if you can book or buy tickets to attractions, tours, or bus or train tickets, in advance

Build calendar and add items you want to see, and when you can probably work them in, based on open days and opening and closing times… Leave a pad day in somewhere; I usually leave the last day as a pad day

Master Travel Plan Day 1 Travel Use Google Maps to check route to airport, and adjust as needed Check Google with Flight number to see if there are delays, and get gate numbers, if available

Lay out Clothing to wear: (don’t wear heavy jewelry; lace up boots, etc.; you may have to take off at screening) Toiletries that fit in a small bag; pack inside your carry on Toiletries list: Medicine list: Spare glasses, glasses repair kit, nail clippers, tweezers, band aids Liquids 3 oz or less, that can fit in a quart plastic bag; put in outside pocket of carry on

In the Carry on Coat or jacket if room… otherwise wear it, Umbrella, empty portable water bottle Small goodie bag; pack inside your carry on Camera and cables Tablet cables

Two or three changes of clothing; layer to deal with changing climate Clothing list: Note, when leaving I take older clothes that I am about to discard, and do not bring them back Clothing list:

Travel documents, including ID, Global Entry card if available, Passport and photocopy, as required

Credit Cards and or currency… I like to keep these in a passport style wallet with zippers that I wear around my neck
